Fair Commercial Remedies for Trade Buyers
This policy establishes fair and timely remedy mechanisms for defective, materially non-conforming, or incorrectly supplied orders, prioritizing fairness and minimizing business disruption.

Reporting and Timeframe
Buyers must notify Nuvinor Fabrics of non-conformity, damage, or shortage within seven (7) days post-delivery. Notifications must include the order number, SKU/batch details, nature of the issue, and high-resolution supporting images. Buyers should preserve consignments and original packaging for inspection. Claims submitted after the seven-day window may be declined.

Evaluation and Resolution Options
Upon claim receipt, Nuvinor Fabrics inspects the claim to assess its validity and root cause. Resolution options offered may include:
● Replacement Shipment: For proven defects that affect the usability of the goods.
● Partial Credit or Invoice Adjustment: For minor discrepancies that do not impact production viability.
● Full Refund: If the supplied batch proves unusable for its intended purpose, upon material return and verification.

Return Logistics and Authorization
Returns require prior written authorization, and an authorization number will be provided for tracking. Nuvinor Fabrics will bear the return logistics costs if the fault is attributable to the supplier or production processes. Post-delivery damage from buyer mishandling places return freight responsibility with the buyer.

Refund timelines and reconciliation
Approved refunds are processed within specified reconciliation periods (typically 7–14 business days from claim approval) via the original payment method or agreed credit notes. The exact timing depends on banking and reconciliation procedures. Detailed reconciliation documentation explaining the refund calculation is provided to the buyer.

Prevention and repeated claims
enforce pre-shipment checks and offer sample verification to reduce claim incidence. We document claim patterns to identify systemic issues requiring corrective action. Repeated, unsubstantiated claims may affect commercial terms, protecting our operational integrity.
